Draft version 0.3

1.About these terms

These terms are the agreement between you and VisaFlow ("Schengenie", "we"), a company registered in Egypt.

They apply when you use our website and when you ask us to help with a visa application. Please read them together with our Privacy policy and our Disclaimer.

Before we start work, we send you, by WhatsApp or email, the service, its fee and a link to these terms. You accept these terms when you reply to confirm that you want us to start. We keep a record of the version you accepted, and we send you a written confirmation of your order and its main terms.

If you are a travel agency or a company, we agree separate written terms with you.

2.Our services

Short-stay Schengen tourist visas for Greece. We offer two services:

  • Appointment booking assistance. We check that your details are complete and book a standard appointment for each traveller, in the traveller's own name, on the official website of the consulate or its visa centre. You receive the confirmation that the official website issues.
  • Full application preparation. Everything in appointment booking assistance, plus: a list of the documents your destination and purpose require; a check of your documents for completeness and consistency; filling in the application forms in each traveller's name, for the traveller to review and sign; preparing the file for the appointment; and guidance for the appointment day.

Portugal work visa. For clients who already hold a job offer from an employer in Portugal: the work permit, the D1 work visa paperwork, and booking the work visa appointment in the client's own name.

Poland work permit and work visa. For clients who already hold a job offer from an employer in Poland: the work permit, and all the paperwork for the national work visa.

The exact scope of each service and its fee are sent to you in writing before you confirm.

3.What we do not do

  • We are not an embassy, a consulate, a government body or a visa centre. We act for you alone.
  • We do not decide visa applications, and we cannot influence any decision. Only the consulate decides.
  • We do not sell appointments, and we do not buy them from anyone.
  • We do not give legal advice, and we are not a law firm.
  • We do not sell flight tickets, hotel bookings, travel insurance or travel packages.
  • We do not offer jobs, we are not a recruitment agency, and we do not place workers abroad.
  • We do not lodge applications at the visa centre in your place. Each traveller attends in person to give fingerprints and a photo, unless the consulate's rules say otherwise.

4.How it works

  1. You contact us on WhatsApp or by email and tell us the destination, the purpose of travel and who is travelling.
  2. We send you the service, its fee, the documents you need and a link to these terms.
  3. You confirm in writing that you want us to start, and give the consents described in our Privacy policy. Your fee is fixed at this point.
  4. You send each traveller's details and the documents the consulate requires. We review them and tell you if anything is missing.
  5. We book the appointment in each traveller's own name on the official website and send you the confirmation.
  6. For full applications, we prepare the forms and the file for the appointment.
  7. Each traveller attends the appointment with the original documents and pays the official fees as the consulate or visa centre instructs.
  8. The consulate decides. Please tell us the outcome so that we can close your case.

5.Applying for other people

You must be 18 or over to ask us to work on an application.

  • Children (under 18): you must be the child's parent or legal guardian. You must give consent for each child and send us a signed guardian consent form before we prepare the file. Consulates usually also require the consent of both parents, or of the legal guardian, for the child's travel, in a form they specify.
  • Other adults: you must have their permission to apply for them and to give us their data, and you must show them our Privacy policy.

6.Your responsibilities

  • Give true, complete and up-to-date information, and only genuine documents. If a document appears to be false or altered, we will stop work and may have to report it as the law requires.
  • Check every form we prepare before it is signed or submitted. Each traveller is responsible for the content of their own application.
  • Answer our questions and send missing documents promptly. Delays can cost you an appointment.
  • Keep access to the email address and phone number used for the booking. Official websites may send messages and codes to them.
  • Attend the appointment on time with the original documents.
  • Make sure each passport meets the consulate's validity rules.
  • Follow the consulate's instructions and the conditions of any visa you receive.

7.Appointments

  • Appointment availability is set by the consulate and the visa centre. We cannot promise a date, a time or a place. We look for a standard appointment that fits the dates and the centre you choose.
  • Visa centres sell optional services, such as premium waiting areas or courier delivery. They are your choice and are paid to the visa centre directly.
  • If the visa centre cancels or moves your appointment, we will try to rebook it, and we tell you first if any extra cost applies.
  • If you miss an appointment or ask us to change it, tell us as early as you can. We tell you in writing, before rebooking, whether a new fee applies.

8.Fees and payment

  • Our service fees are listed on our Fees page. The fee we send you before you confirm includes all taxes and is fixed when you confirm.
  • Official fees are not included. You pay them separately and directly to the consulate or the visa centre: the visa fee, the visa centre's service fee and any optional services.
  • Also not included: translations, travel insurance, photos, courier costs, legalisation, and travel or hotel bookings.
  • We tell you in writing how and when to pay our fee before you confirm.
  • We give you a receipt for our fee.

9.Cancellations and refunds

  • You can cancel at any time by WhatsApp or email.
  • Under the Consumer Protection Law (Law No. 181 of 2018, Articles 40 and 41), you may withdraw from a contract made at a distance within 14 days, and any refund due is paid within 7 days. This right ends if the service has been fully performed within that period, for example once the appointment you asked for has been booked.
  • The refund terms for your service, including if you cancel, if we cannot provide the service or if a visa is refused, are in the written offer we send you before you confirm.
  • Official fees paid to a consulate or visa centre are refunded only under their own rules. We cannot refund them.

10.Our liability

We provide our services with reasonable care and skill.

We are not responsible for:

  • the consulate's decision on any application;
  • the availability of appointments;
  • delays, errors or outages of official websites and visa centres;
  • changes to visa requirements, procedures or official fees;
  • the results of information that is wrong or incomplete, or of documents that are not genuine, when you or a traveller provided them;
  • a job offer or employment contract, or anything an employer does or does not do;
  • a missed appointment;
  • events beyond our reasonable control.

Nothing in these terms limits our liability for fraud or gross negligence, or any right you have under the Consumer Protection Law or other mandatory Egyptian law. Any term that reduces our legal obligations to consumers has no effect.

11.Suspending or ending the service

We may refuse, suspend or stop the service if:

  • a document appears to be false or altered, or important information is untrue;
  • you or a traveller treat our staff abusively;
  • the law requires us to stop; or
  • we can no longer provide the service, for example because a consulate changes its rules.

We will tell you why, unless the law forbids it. Any refund follows section 9.

12.Your personal data

We handle personal data as our Privacy policy explains. We keep a record of the consents you give us and of the version of the text you saw.

13.Using our website

The content and design of our website belong to Schengenie or its licensors. Do not:

  • copy the website or collect its content by automated means;
  • try to get around its security or interfere with how it works;
  • send us malicious files, or files that are not yours to share;
  • pretend to be someone else, or to be Schengenie.

14.Changes to these terms

We may update these terms. A new version applies to orders confirmed after it is published on this page. An order you have already confirmed keeps the version and the fee you accepted. We will tell you about important changes by WhatsApp or email.

15.Governing law and disputes

These terms are governed by the laws of the Arab Republic of Egypt.

If something goes wrong, please contact us first. We will try to resolve it as quickly as we can. You can also complain to the Consumer Protection Agency, hotline 19588.

Any dispute that cannot be resolved this way goes to the competent Egyptian courts.

16.Language

These terms are published in Arabic and English. If the two versions differ, the Arabic version prevails.
